Graduate Business Association Executive Board
Position Descriptions; as of February 12, 2009
Details of Positions
a. President:
- Coordinate student involvement in important issues related to the Business School.
- Manage the strategic direction of the EB.
- Call and preside at meetings of the EB.
- Work with Officers to help guide their priorities and agendas.
- Act as the primary GBA liaison to the Dean and the Administration of the Business School.
- Coordinate the public relations of the GBA within the Business School.
- Represent the Business School to external constituencies as needed.
- Participate in the Fall and January term orientations.
- Sits on the Elections Committee.
- Create and convene ad-hoc committees as needed.
b. Executive Vice President (elected by GBA Council after the GBA Executive Board Positions)
- Chair the committee of first year Cluster Chairs
- Call and preside at meetings of the Council. This includes setting the date, and location of such meetings.
- Manages the Secretary in the soliciting of agenda items for the Council Meetings from the Council members, and is responsible for determining final agenda for all Council Meetings.
- Call all votes of the Council.
- Vote in Council Meetings only when necessitated to break a tie.
- Moderate all Council discussions and votes.
- EVP is to be elected by the Council.
- Elected in March, after school-wide elections, but before club elections.
- EVP must be a member of the Council in March to run, but then does not need to run for Cluster Chair or other offices to retain his/her Council seat. His/her vote on the Council should be considered “at large” rather than as representing his/her cluster.
- EVP is a one-year position, lasting from April-April.
- EVP balances the President and represents the spirit of the Council (including the first-year chairs who do not have Executive Board representation elsewhere) during the Executive Board meetings.
c. Vice President, Academic Affairs
- Assume all duties of the President in his or her absence.
- Chair the Student Faculty Academic Affairs Committee.
- Participate as member, supporter and facilitator of First Year Academic Representatives committee.
- Work with Bottom Line editors to facilitate appropriate input on academic issues.
- Work with the Office of Academic Affairs (“Academic Affairs”), Student Life, the Honor Board, the Faculty and other members of the Administration on all academic issues related to the Student Body.
d. Vice President, Alumni Transition and Development
- Act as the GBA liaison to the External Relations office.
- Chairman of the Alumni Transition and Development Committee, which is responsible for:
- Second Year specific community building events and programming;
- Selection of Graduation Speaker and Student Graduation Speaker;
- Class Gift fundraising campaign;
- Yearbook organization and production;
- Class ring arrangements;
- Collaborate with Alumni Relations to facilitate pre-graduation transition and educational programs during disorientation week;
- BANC registration;
- Alumni Club education;
- Serving as lead liaison for post-graduation class committee;
- Other various alumni related programming and events throughout the year.
- Work with the Alumni Relations and select young alumni to develop a more permanent and sustainable structure for Alumni interface with the GBA.
- Maintain communication with, and help coordinate the efforts of, Alumni Relations during first year post graduation, including:
e. Vice President, Clubs and Careers
- Act as a liaison between the Student Body and the Office of Career Services (“Career Services”). Gather feedback, create programming, and plan events.
- Coordinate Cluster Career Representatives to ensure student awareness and use of Career Service events, facilities and resources.
- Sit on Career Representatives Committee (comprised of 11 first year career representatives, 2-3 second year student advisors, and Career Services).
- Assist Career Services with the evaluation and adoption of alternative networking and career tools for Students.
- Assist Career Services with the search for alternative geographic and industry venues for the Student Body, as needed.
- Work with Student Life to ensure the proper functioning of all clubs and interest groups. Gather feedback, create programming, and plan events:
- Act as a liaison between Student Life and the presidents of student clubs and interest groups (“Club Presidents”) to ensure that Club Presidents are aware of and understand their responsibilities as officers of clubs and interest groups. These responsibilities are outlined in Guide for Student Clubs and Interest Groups.
- Work with the Vice President, Finance and Student Life to ensure that clubs meet their fiscal and organizational requirements to be considered clubs.
- Work on an informal basis with the officers of student clubs and interest groups to ensure their proper functioning.
- Sits on the Elections Committee. Assists Student Life in administration of club elections.
- Responsible for reviewing student ideas for clubs and interest groups. Identify viable ideas and recommend them to the Council for approval.
- Run Club Officer re-training each September.
f. Vice President, Community
- Chair Community Action Rewards Everyone (“CARE”).
- Coordinate Cluster Community Representatives and provide advice on how to go about their roles, support their activities, and help facilitate the use of the in-place CBS mechanisms in conjunction with Student Life.
- Plan and orchestrate requests received for volunteers from various outside community service groups in conjunction with Student Life.
- Organize community service events in conjunction with the Cluster Community Representatives.
- Generate, spread, and maintain a doctrine of community awareness throughout the Business School, and coordinate and promote all community service activities.
g. Vice President, Events
- Chairman of the Events Committee, which is responsible for:
- Building community within the Business School through events, which will attract the diversity of students at the Business School.
- Ensure the successful running of Happy Hours:
- Coordinate funds to finance Happy Hours. Each Happy Hour is contingent on these funds, and should not be thought of as an expected weekly event. Funds can be raised from sponsoring firms through clubs, Student Life and any other party wishing to sponsor a Happy Hour.
- Organize the set-up, clean-up and manning of the events. This may include, but is not limited to, hiring of workers and security, organization of food and refreshments.
- Ensure that all parties involved in the event are prepared and understand their commitments. These parties include sponsors and workers.
- Assist in the planning of post Happy Hour events
- Organize school-wide events, such as:
i. Fall Ball
ii. Spring Fling
iii. Mid-semester parties
iv. End of semester parties
v. Organize social events during Disorientation week for graduating second year students
vi. Coordinate First Year Cluster Social Representatives to provide advice as needed
vii. Ensure awareness and use of the on-line calendar by the Student Life, clubs & GBA
h. Vice President, Finance
- Chair the GBA Budget Committee
- Coordinate all budget allocations and maintain the GBA budget.
- Chair the Merchandise Committee and monitor Merchandise Committee financial statements and activities. Collect all fees for Council sponsored events.
- Monitor all Council financial statements.
- Collect all Council fees from clubs and activities.
- Consult with club Finance Vice Presidents as needed or requested throughout the year to provide assistance on finance-related issues.
- Monitor club finances for compliance with clubs’ official responsibilities, as outlined in Guide for Student Clubs and Interest Groups.
- Take on additional Council initiatives as time permits.
i. Vice President, Information and Infrastructure
- Coordinate and monitor the First Year Cluster Technology Representatives.
- Act as the GBA liaison to Information Technology Group (“ITG”).
- Work with ITG and other members of the Administration on any technology issues affecting the Student Body.
- Monitor, develop and update the Council website.
- Responsible for designing all GBA branding and logo.
- Provide ITG with recommendations and feedback on how to better use technology (either existing or new) to enhance and improve the student experience.
j. J-Term President
- This position is elected simultaneously with the regular GBA Election Cycle.
- The authority to form special committees on an ad hoc basis if the demands of a particular summer require additional resources. The responsibilities of the Summer GBA shall include but not be limited to:
- Represent the Student Body to the Administration and Faculty.
- Organize and oversee weekly social events.
- Coordinate the agenda items and issues with the incoming Executive Board
- Participate in January Term orientation.
- During the Fall & Spring semesters, The J-Term President serves as a member of the EB, and is responsible for heading and/or participating in Executive Board initiatives.
- The J-Term President is to serve as a preliminary contact and liaison for the J-Term Class entering during his or her second year.
k. Senior University Senator (already elected)
- The Senator position is a two year position. Therefore, the Junior Senator (see Article X, Sections 6 and 7) will become the Senior Senator in his/her second year at the Business School.
- Work within the University Senate Plenary. The Plenary is an inter-school body, made up of students, faculty and administrators, which looks at University-wide issues. The Plenary is supported by Standing and Ad-Hoc committees, including, but not limited to the Student Affairs Committee, the Budget Committee, the Housing Committee, the Education Committee and the Executive Committee. The Senator is expected to sit on the Student Affairs Committee (Student Caucus) and one additional committee.
- Ensure the Student Body is aware of University-wide issues.
- Represent the Student Body on University-wide issues that pertain to them.
- Represent students on any Dual Degree and Cross Registration issues.
- Represent the GBA in coordinating events with other schools within the University.
- The Senior University Senator will maintain communication with the Junior University Senator on all matters pertinent to this office.
l. VP of Honor
- Responsible for overseeing all aspects of the school’s Honor Code.
- Provide support required by the GBA executive board to ensure ethical behavior is integrated into all activities and aspects of the Business School.
- Call and preside at meetings of the Honor Board.
- Work with cluster Honor Representatives and cluster Chairs to ensure all efforts are coordinated, communicated, and carried out in a consistent manner.
- Liason with the Peer Advisor Vice President of Leadership and Integrity prior to the Fall and January term orientations.
